The phrases “CVN Services”, “CVNS”, “us” or “we” or “our” shall, when used herein, on behalf of and in respect of this Policy.

We act as Data Processors, authorised by financial institutions to process your data for the procurement of property valuations.

Personal information is information, or any combination of separate pieces of information, that could be used to identify you as an individual. 

This statement also governs the use of computer Cookies as reference in section 10 of this statement.

INFORMATION CVN SERVICES COLLECTS

CVN Services are data processors. We may be provided with information about you from several financial institutions for which we act as Valuation Panel Managers. This includes information we collect directly from you; information we collect when you visit our websites, view our online content or use our other services; and information we collect about you from other sources.

INFORMATION WE COLLECT DIRECTLY FROM YOU

We may collect information directly from you when we require you to pay for a piece of valuation work, complete a Contact Us form on our websites, call or email us, or otherwise provide information directly to us. The following are examples of information we may collect directly from you:

  • Your Name
  • Email address (work or personal)
  • Contact Numbers
  • Financial information (such as a credit card or bank details) used for processing instructions for our client lenders.

INFORMATION CVN SERVICES MAY BE PROVIDED WITH BY FINANCIAL INSTITUTIONS

We may obtain information about you which is required by our panel members to perform valuation work. Examples of information we may collect from other sources are:

  • Contact and Access Details for Valuations
  • Bank Sort Code, used by banks for reporting purposes
  • Lease and Tenant Information.

HOW CVN SERVICES USE AND PROCESS THIS INFORMATION

We use the information we collect to provide you with our products and services. The following are examples of how we may use the information we collect:

  • Answer your questions or respond to your requests.
  • Provide you with our services.
  • To provide panel members with newsletters and bulletin updates.
  • Process payment for valuation services.
  • For panel members we use the information to assist you in processing valuation work and to pass work to you and monitor its progress.

  • For auditing purposes.
  • Analyse the use of, and develop, our services. Enforce our Terms and Conditions and otherwise manage our business.

CVN Services will only process your information in accordance with the lawful basis of legal and contractual requirements. If we receive any requests related to, for example, a product or service, a call-back; we will use your personal information to fulfil your request.

Where we need to manage your account and protect you against or identify possible fraudulent transactions, we will do so in accordance with our legal obligation placed on us under law.

INFORMATION SHARING

CVN Services believe we have a strong and trusted relationship with our clients and we do not share your personal information to marketers outside of CVN Services.

VALUATION PROVIDERS

We engage third-party valuation providers, contracted to perform a variety of property valuation work. The valuation providers are authorised by, and contracted to, your loan provider. In so doing, we share your personal information with them. We supply our valuation providers with only the personal information they need in order to perform the services that are requested by the loan provider, and the loan provider contractually requires that the valuer protects this information appropriately and not use it for any other purpose.

THIRD-PARTY PROVIDERS

For example, we may rely on a 3rd party service provider to:

  • Host our sites and deliver our email or other communications.
  • Conduct research and analyse data to improve our products, services and sites.
  • Perform other services that we request.

OTHER SITUATIONS

We may transfer or otherwise process your personal information:

  • As part of a future sale of CVN SERVICES to another company.
  • To protect, defend or exercise the rights and property of Aitchison Raffety (including enforcing our Terms and Conditions).

YOUR COMMUNICATION OPTIONS (PANEL MEMBERS AND FINANCIAL INSTITUTIONS)

Email Communications

Our main method of communication with panel members and financial institutions is email. We may communicate with clients directly via email.

Postal Mail

CVNS do not use any form of postal mail when processing instructions on behalf of lending institutions.

SMS Messaging

CVNS do not use any form of SMS messaging when processing instructions on behalf of lending institutions.

YOUR INFORMATION AND YOUR RIGHTS

To the extent provided for by applicable law, you have certain rights in respect of the management of the personal data we hold about you. As a Data Processor for financial institutions it is important that any requests for changes to your data or removal of such are addressed to the loan provider you are using. They will advise us of any changes or deletions that are required. This does not affect your rights under the GDPR requirements.

We will process any requests for Right to Access, Right to Erasure and your Right to stop processing, subject to legal or contractual requirements.

YOUR CONSENT

Where you have provided consent for our processing of your personal data, you may withdraw that consent at any time by contacting your loan provider. We will cease processing your personal data as soon as reasonably practicable following our receipt of your withdrawal.

COMPLAINTS

If you consider that we have processed personal data in violation of applicable law, please contact us as described in section 17 of this Privacy Policy. If you consider that we have processed personal data in violation of applicable law and failed to remedy such violation to your reasonable satisfaction, you may also lodge a complaint with the supervisory authority, the Information Commissioner’s Office on 0303 123 1113.

INFORMATION SECURITY

CVN Services are committed to keeping personal information secure. We have implemented technical, administrative and physical procedures designed to protect personal information from loss, misuse or alteration. We have recently successfully completed a detailed SQS audit by one of the UK’s largest financial institutions.

We limit access to personal information to those who have a business need. We keep personal information only for so long as deemed reasonably necessary.

DATA TRANSFERS

We do not transfer the personal information we collect about you outside of the EEA.

CHILDREN’S PRIVACY

Our website is not directed to children we do not knowingly collect personal information on our websites.
